Vivid Sydney: Light, Music and Ideas

Vivid Sydney, is the world’s largest annual festival of creativity and innovation. It features an outdoor ‘gallery’ of extraordinary lighting sculptures and projections, a cutting-edge contemporary music program, and some of the world’s most important creative industry forums. Positioning Sydney as the creative hub of the Asia-Pacific region, Vivid Sydney delivers both innovative live entertainment and creative inspiration on a grand scale.

In 2018 Vivid Sydney will celebrate its tenth anniversary and will take place over 23 days from 25 May to 16 June 2018.

Vivid Sydney comprises three programs:

Vivid Light – transforms large parts of Sydney’s built environment with light sculptures and large-scale architectural projections onto iconic buildings and structures.

Vivid Music – offers an extensive program of performance, multi-genre musical collaborations, the best in contemporary and experimental music at venues across Sydney, and includes the Vivid X|CELERATE program devoted to celebrating Sydney’s blossoming musical talent by awarding grants and marketing support to venues, artists, and promoters with good ideas.

Vivid Ideas – offers a rich and diverse flow of ideas and multi-disciplinary discussions to support the development of Sydney’s creative sector.

Vivid Sydney is owned, managed and produced by Destination NSW, the NSW Government’s tourism and major events agency.


Vivid Light is in many ways the glowing symbol of what Vivid Sydney has set out to achieve. It transforms the Sydney CBD after dark through the presentation of a free, accessible and sustainable ‘Light Walk’. Vivid Light presents Sydney’s iconic buildings and foreshore precincts in a whole new dimension, with cutting-edge light installations, and 3D-mapped building projections – some of which are quite interactive, and encourage the audience to become one with the art on offer.

In 2017 more than 60 light installations and projections were assembled across the Vivid Sydney Light Walk, stretching from Hickson Road Reserve through Campbells Cove, The Rocks, Circular Quay, CBD North, Sydney Opera House and the Royal Botanic Garden Sydney.

Tomorrow’s Sydney

Construction of the new 12 kilometre light rail route from Circular Quay to Randwick and Kingsford is underway in Sydney with major works progressing across the CBD. As the city prepares for ‘Tomorrow’s Sydney’, the footprint of the Vivid Sydney Light Walk will adapt and change to accommodate the light rail construction.

Some locations in and around Circular Quay will be unavailable to Vivid Sydney in 2018, but simultaneously new locations and precincts will be introduced to the festival. With this in mind, light artists, designers and technical suppliers are advised to submit expressions of interest for concepts that can be adapted to various buildings and sites around the CBD, rather than for specific locations.


This Expression of Interest outlines opportunities for artists, designers, creative industry practitioners, equipment suppliers, businesses, and educational institutions to present their ideas, designs, concepts and interest for inclusion in Vivid Light 2018.

While installations and activations that showcase industry-leading innovation and cutting-edge technologies through the combination of light, music and ideas are valued as part of the Vivid Light program, live performances of any kind sit outside the scope of this Expression of Interest process. Talk Series, or Live Performance events, are best positioned under the Vivid Ideas and Vivid Music Expression of Interest process. There are five entry categories covered under this Expression of Interest:

Vivid Sydney’s ‘Projection Icon’ installations are internationally renowned and feature large-scale architectural projections across a variety of building façades, ranging from the austere sandstone of the Museum of Contemporary Art Australia to the colonial charm of historic Cadmans Cottage.

Vivid Sydney has nominated five ‘Projection Icon’ sites in 2018, and provided technical and creative requirements for your consideration as part of this Expression of Interest. In addition to the nominated sites, Vivid Sydney welcomes Expressions of Interest for other Sydney CBD buildings, facades, and that may be suited to a ‘Projection Icon’ style treatment.

Please note, this Expression of Interest does not cover projection/illumination of the Sydney Opera House Sails. Please do not submit applications for projection/illumination of these sites.

The Expression of Interest Application Form for Projection Icons requires proponents to provide:

  1. Design content synopsis, and three sample designs, and/or;

  2. Projection and technical equipment specifications (if submitting an EOI for technical supply)

  3. Individual or company credentials and design portfolio

  4. Fully itemised content design fee or projection fee, or content design and projection fee combined

  5. Completed Expression of Interest Application Form.

Projection Icon Funding Models

To assist in meeting the costs of delivering the proposed Projection Icon activation, Destination NSW will consider proposals based on one of the following funding options:

  1. Lodge an Expression of Interest with Destination NSW which has been fully sponsored by yourself or a third party. If awarded, Destination NSW will provide an appropriate marketing benefits package to you and your third party contributor.

  2. Lodge an Expression of Interest with Destination NSW which has been part-sponsored by yourself or a third party. If awarded, Destination NSW will provide an appropriate marketing benefits package to you and your third party contributor.

  3. Lodge an Expression of Interest with Destination NSW which has been part sponsored by yourself or a third party and in addition requests investment from Destination NSW. If awarded, Destination NSW will provide an appropriate marketing benefits package to you and your third party contributor.

  4. Lodge an Expression of Interest with Destination NSW which requests full investment from Destination NSW. If awarded, Destination NSW will reserve the right to seek third party sponsorship and assign rights and benefits to the sponsor in regards to your installation/activation in consultation with you.

For Vivid Light 2018, more than forty light sculptures and installations will be selected to create the Vivid Sydney Light Walk. Vivid Sydney Light Walk sculpture and installation designs should engage the public, creative practitioners and the Creative Industries. They should showcase artistry, technology, sustainability, accessibility and innovative thinking through lighting and installation design.

Vivid Sydney light sculptures and installations can be highly interactive, simply beautiful – or both. They can be free-standing, aerial, fixed or mobile, but please remember they will be viewed by more than two million people, often thousands at a time. Please consider how your installation will be viewed in dense crowds, with a focus on scale and height being critical to the success of your piece.

When designing interactivity, please consider the expected number of event-goers that will interact with your piece every night. It is critical to the success of your installations interactivity that it be robust and designed to enlighten, entertain and engage, large number of event-goers at the same time.

All work submitted for consideration as part of Vivid Sydney must be suitable for General Exhibition and artwork must not bring the NSW Government and Destination NSW into disrepute. All installations must be of a family friendly nature, not be of a violent nature, not incite violence or offence and be suitable for everyone to watch including children without supervision.

Accessibility & Inclusion

Destination NSW is committed to keeping Vivid Sydney as accessible as possible to everyone. In designing you installation/sculpture, remember Accessibility is not just about disabilities. Consider the elderly, parents with small children and even those with minor injuries, to ensure your piece is accessible to all.

Depending on the type of installation you are proposing, you may wish to consider designing accessible features to provide sensory, tactile, auditory or visual interactivity options to event-goers.

Sustainability

Incorporating sustainable innovation into each stage of your installation’s design, construction, transportation, operation and decommissioning, is aligned with Vivid Sydney’s brand and values, and will be well-received when considering your proposal.

Durability

Installations designed for Vivid Sydney must be weather-proof, and able to last for the full duration of the event with minimal upkeep. If your installation is interactive, ensure the interactive elements are sufficiently robust and can operate in adverse weather conditions.

Location Selection

You may propose locations as part of your submission however, installations proposed may be relocated to different areas of the Light Walk or to other precincts outside of the Light Walk area during the development of the event for a number of strategic and operational reasons. Additionally, the Vivid Sydney team reserves the right to adjust or relocate an installation’s positioning during the event.

Placement of installations in all locations is subject to approval by Vivid Sydney, landowners, regulatory bodies and other stakeholders.

Please do not approach building or land-owners directly.

Noise Considerations

Please be aware that sound restrictions are in place which may affect your design (i.e. decibel limits) at different times during the event.

Proponents interested in submitting an Expression of Interest for Light Sculptures and Installations must submit an application under one of the following categories:

Category 1 - I am/represent an industry professional or business that has extensive (7+ years’ experience) in designing and delivering lighting activations. Myself, or members of my team, also hold extensive experience and formal qualifications in a related field. I am looking to use this experience to submit a proposal for Vivid Light 2018.

Category 2 - I am/represent an industry professional or business that has some experience in designing and delivering lighting activation (3+ years). Myself, or members of my team, have significant experience or formal qualifications in designing, manufacturing and delivering installations and I am interested in submitting a proposal for Vivid Light 2018.

Category 3 - I am/represent a tertiary student, recent graduate, or emerging/independent Artist (including collectives) who are interested in presenting innovative and creative lighting activations as part of Vivid Light 2018.

Category 4 - I represent a company, business or service provider with significant experience in supporting the delivery of lighting activations, theatrical productions and/or major events. Our company is interested in submitting an Expression of Interest for Vivid Light 2018.

The Expression of Interest Application Form for Light Sculptures & Installations requires proponents to detail:

  1. The submission category in which you are submitting an Expression of Interest

  2. All technical specifications on your proposed light sculpture/installation

  3. Individual or company credentials and design portfolio

  4. A photo-realistic render of the final light sculpture/installation

  5. A fully itemised project budget (including any project fees).

Light Sculptures & Installations Funding Models

To assist in meeting the costs of delivering the proposed Light Sculpture/Installations, Destination NSW will consider proposals based on one of the following funding options:

  1. Lodge an Expression of Interest with Destination NSW which has been fully sponsored by yourself or a third party. If awarded, Destination NSW will provide an appropriate marketing benefits package to you and your third party contributor

  2. Lodge an Expression of Interest with Destination NSW which has been part sponsored by yourself or a third party. If awarded, Destination NSW will provide a marketing benefits package to you and your third party contributor

  3. Lodge an Expression of Interest with Destination NSW which has been part sponsored by yourself or a third party and in addition requests investment from Destination NSW up to AUD$15,000. If awarded, Destination NSW will provide a marketing benefits package to you and your third party partner

  4. Lodge an Expression of Interest with Destination NSW which requests full investment from Destination NSW. If awarded, Destination NSW reserves the right to seek third-party sponsorship and assign rights and benefits to the respective third party sponsor of your installation in consultation with you.

Vivid Sydney has nominated fourteen suggested ‘Building Illuminati’ sites, and provided technical and creative learnings for your consideration as part of this Expression of Interest process. In addition to the nominated sites, Vivid Sydney welcomes Expressions of Interest for other Sydney CBD Buildings, facades, and surfaces that may be suited to a Building Illuminati style treatment. Vivid Sydney also welcomes Expressions of Interest for Building Illuminati which incorporate/integrate a lighting treatment of the Sydney Harbour Bridge.

Building Illuminati Funding Models

To assist in meeting the costs of delivering the proposed Building Illuminati activation, Destination NSW will consider proposals based on one of the following funding options:

  1. Lodge an Expression of Interest with Destination NSW which has been fully sponsored by yourself or a third party. If awarded, Destination NSW will provide an appropriate marketing benefits package to you and your third party contributor.

  2. Lodge an Expression of Interest with Destination NSW which has been part-sponsored by yourself or a third party. If awarded, Destination NSW will provide an appropriate marketing benefits package to you and your third party contributor.

  3. Lodge an Expression of Interest with Destination NSW which has been part sponsored by yourself or a third party and in addition requests investment from Destination NSW. If awarded, Destination NSW will provide an appropriate marketing benefits package to you and your third party contributor.

  4. Lodge an Expression of Interest with Destination NSW which requests full investment from Destination NSW. If awarded, Destination NSW will reserve the right to seek third party sponsorship and assign rights and benefits to the sponsor in regards to your installation/activation in consultation with you.

 

Vivid Sydney’s illumination of the iconic Sydney Harbour Bridge is an integral element of Vivid Sydney.

  Proponents interested in submitting an Expression of Interest for the Sydney Harbour Bridge must submit an application for:

  1. Design, installation and management of a LED lighting treatment on the Sydney Harbour Bridge.

Vivid Sydney welcomes Expressions of Interest which incorporate/integrate the illumination of the Sydney Harbour Bridge as part of the aforementioned Building Illuminati activation, please see the Building Illuminati section for more details.

The Expression of Interest Application Form for the Sydney Harbour Bridge requires proponents to detail:

  1. Proposed treatment of the Sydney Harbour Bridge

  2. Technical specifications on all lighting/laser/projection technology used

  3. Individual or company credentials and design portfolio

  4. A photo-realistic render of the proposed activation

  5. A fully itemised project budget (including any project fees)

Creative Considerations

Proponents submitting an Expression of Interest for the Sydney Harbour Bridge should consider how their proposals address the section criteria available at link, whilst also providing a vibrant and dynamic lighting treatment of the iconic Sydney Harbour Bridge; developed in a way that compliments the world-renowned heritage architecture of this key Sydney icon.

Key considerations in your proposal should include;

  • Leading innovation in energy efficiency

  • Delivery of a visually exciting and dynamic lighting treatment

  • The potential for audience interaction within your proposed design.

Note: Submissions are welcomed for one and/or both sides of the Sydney Harbour Bridge. Please provide a fully itemised budget detailing the proposed cost of the eastern, western and combined sides of the Sydney Harbour Bridge. Destination NSW may elect to engage successful proponents to deliver one or both sides of the Sydney Harbour Bridge, using the itemised budget submitted through this Expression of Interest.

To assist in meeting the costs of delivering the proposed Sydney Harbour Bridge activation, Destination NSW will consider proposals based on one of the following funding options:

The Sydney CBD boasts many of Australia’s earliest settlement buildings, heritage statues and memorials. These small masterpieces of craftsmanship offer the finest capacity to showcase the latest urban lighting technology or imaginative use of projection and mapping. Vivid Sydney welcomes Expressions of Interest for the treatment of individual or multiple heritage facades.

Proponents submitting for this site should consider how their proposal addresses the selection criteria available at link, whilst also providing twelve to fifteen minutes of cutting-edge, animated projection content and design set to music, and based on the work of – and developed in collaboration with – an artist in the MCA Collection.

The grand-scale video-mapped projections on the Original Façade are an integral part of Vivid Sydney, and are unique in that they are a close collaboration between an artist in the MCA Collection and an experienced projection artist or creative content group. For 2018, the MCA Collection Artist is Jonny Niesche.

Jonny has supplied a portfolio of work and supporting material for consideration as part of this Expression of Interest, available at link. It will aid the success of your submission if you show examples of how you might work with Jonny as the confirmed MCA Collection Artist, using the reference material supplied.

Submission Requirements

You must complete the Vivid Light 2018 online application form and attach all relevant documentation and/or electronic files in the required file formats.

All applicants must meet the following pre-requisites prior to submitting an Expression of Interest for Vivid Light 2018:

  • The applicant must be a registered business (holding an ABN or international equivalent)

  • The proposed activation must be suitable for General Exhibition (i.e. suitable for viewing by children without supervision)

  • Your proposed activation must not include live performance of any kind

  • You must be prepared and able to enter into a contract with Destination NSW for the duration of the event, which includes holding all relevant licenses, insurances and approvals.

Selection Criteria

All applications and supporting material will be assessed on the following criteria:

  • Creative and artistic merit, including demonstrated innovative and creative use of new technology

  • How innovative, unique and new your proposed activation is

  • Proposed interactivity, and its capability to handle the expected attendance

  • Your demonstrated ability to realise your design, with a high-quality finished product

  • Cost-effectiveness, and your capacity to deliver within the proposed fee/cost

  • Consideration of robustness and waterproofing within your design and budget

  • Consideration and commitment to Vivid Sydney’s Access & Inclusion initiatives

  • Demonstrated commitment and ability to embed sustainable practice within the design, manufacture, delivery and decommissioning phases of your activation.

Please note: All Vivid Light activations must be continually operating and open to the public from 6pm to 11pm for 23 nights, as well as some nights before Vivid Sydney opens for media previews.

Selection Review

Applications will be assessed and short-listed for inclusion in Vivid Light program by the Vivid Sydney curatorial team. Shortlisted applicants will be notified between 11 December – 22 December 2017, and will be required to attend an interview with Curator of Vivid Light to discuss their proposed activation and potential inclusion within the Vivid Light Program.

The focus of this interview will be on determining the feasibility of your proposed activation and determining your capacity to deliver the activation within the proposed budget. Confirmation of technical and creative details will also form part of this interview process. For applicants who are unable to attend an interview in Sydney, phone or Skype meetings will be arranged.

No late entries will be accepted. Please keep a copy of all submitted material, as this cannot be returned by Vivid Sydney. Please note, the decisions of the Vivid Sydney Curatorial Team are final.


2017

  • 7 November EOI applications close at 5pm (AEDT).
  • 11 - 22 December Short-listed applicants notified, followed by interviews.
  • 22 December Unsuccessful applicants notified.

2018

  • 8 - 19 January  Shortlist interviews take place.
  • 19 January Contractual agreement executed and returned to Destination NSW.
  • 25 January Successful applicants submit final marketing material to Destination NSW.

A Vivid Light Contributor is an organisation or entity that provides assistance (cash and/or value-in-kind) to the applicant in support of their Expression of Interest and realisation of their activation (if successful).

The applicant is responsible for engaging and managing contributors directly to support their application/activation as required. However, the applicant must provide details of potential contributors as part of this Expression of Interest for review and approval by Destination NSW prior to entering into a formal agreement.

Destination NSW has provided guidelines on the Contributor Restrictions (outlined below) and these must be taken into consideration before submitting your Expression of Interest.

Potential Vivid Light Contributors can also be submitted for review and approval by Destination NSW after the approval of the submission.

Vivid Sydney reserves the right to review all proposed Vivid Light Contributors and approve them, or otherwise at its sole discretion.

Vivid Light Contributor Restrictions

The Vivid Light Contributor category does not permit the Vivid Light Contributor to:

  1. Be awarded naming rights of either the Vivid Sydney event or the Vivid Light activation

  2. Undertake general marketing and promotion of their involvement as part of the whole of Vivid Sydney 2018, except directly in relation to the approved activation/installation

  3. Undertake any unapproved messaging, including social media or PR activities, or issue any media releases relating to Vivid Sydney 2018, except in direct reference to the approved activation/installation and subject to the prior review and written approval of Destination NSW

  4. Undertake any form of market research on the event footprint without prior pre-approval and under the operational control of Destination NSW.

If the proposed contributor is associated directly with the following quarantined categories, further conditions and review may apply:

  • Credit Cards and banking

  • Automotive

  • Telecommunications

  • Online travel booking services, airlines or accommodation

  • Photography and photography equipment (both professional and amateur)

  • Destination-Marketing organisations, including Regional Tourism organisations and third-party tourism websites

  • State Tourism organisations

  • Cause related marketing organisations

If the proposed contributor is associated (either directly or closely linked) with the following restricted categories, sponsorship will not be approved by Destination NSW:

  • Adult/sexual products and services

  • Gaming and gambling activities

  • Tobacco

  • Cleaning, hygiene and personal care products

  • Alcohol products

  • Weapons and violence related products

  • Immigration.

Vivid Sydney maintains a dedicated Access & Inclusion program, to ensure that Australia’s largest event remains accessible to all. In line with the program, organisations are encouraged to make their event accessible to all audiences.

Examples of Vivid Sydney’s Access & Inclusion initiatives include managed accessible viewing areas, accessibility maps, accessible drop off & pick up zones, and pre‐booked mini bus accessible parking on the Vivid Sydney Light Walk, Auslan interpreters at Vivid Ideas Game‐Changer events, and dedicated Access & Inclusion website pages and targeted newsletters.

Resource Efficiency

Destination NSW has partnered with the Banksia Foundation to measure and improve Vivid Sydney’s sustainability performance. This includes the use of GreenPower, alongside environmental and sustainability initiatives including the use of efficient technologies, promotion of public transport, waste minimisation initiatives, and adherence to sustainability policies within Vivid Sydney precincts.

We encourage all Artists to further explore sustainable practice and environmental management solutions and technology within the Vivid Light program.

If your activation is selected, you will be required to contribute to Vivid Sydney’s commitment to environmental sustainability. Specifically you will be required to:

  1. Carry out your work so as to minimise the environmental impact of your event

  2. Work with Destination NSW to enhance and improve Vivid Sydney’s sustainability expectations, policies, procedures, statements and practices

  3. Where requested by Destination NSW, provide reliable and relevant environmental data relating to your event; such as energy and water consumption, waste generation, transport and travel emissions, catering and consumables, and marketing and print materials

  4. At the request of Destination NSW, provide a copy of any environmental data collected for use in environmental sustainability reporting and other public representations.

Successful applicants are required to enter into an agreement with Destination NSW or a nominated representative. The Applicant must be a registered business and possess ABN or international equivalent. The agreement will include, but is not limited to:

The artist will own all intellectual property of any designs/works commissioned for Vivid Sydney.  If any commissioned and/or premiering designs/works, are later exhibited at another event or festival, the artist will ensure that acknowledgment is given to the design/work being originally commissioned for Vivid Sydney by Destination NSW.

An Applicant, Artist or contributor to the installation/activation must not engage in any media or public communications or publicity related to Vivid Sydney or their  installation, activation or event, regardless of their application outcome, without the prior written consent of Vivid Sydney and Destination NSW. The Applicant must act in good faith and upon reasonable notice with respect to any promotion and publicity that Destination NSW or its PR/Media Agencies undertakes in connection with the Project Proposal as part of Vivid Sydney 2018 free of charge.

The Applicant must not release or promote their involvement in Vivid Light until the Official Media Launch managed by Destination NSW is complete (approximately March 2018). The Applicant agrees to work with Destination NSW and/or its PR/Media agencies with regard to promotion and publicity opportunities. All media releases must be approved in writing by Destination NSW before release.

All applicants are responsible for the following:

  1. Safety of installation, including engineering certificates

  2. Obligation to ‘make good’ any installation faults throughout the event

  3. Abiding by any directions given by Destination NSW or its nominated third party with regard to safety.

All applicants are required to provide, and update, the following content when requested:

  1. ARTIST/S BIOGRAPHY:
    A 300 word full biography on each artist involved in the activation. This should include key information such as recent works, awards and where they are from.

  2. ARTWORK INSTALLATION DESCRIPTION:
    A 300, 150 and 50 word description of your installation.

  3. 3 HIGH-RESOLUTION RENDERS OF THE INSTALLATION:
    These images must be suitable for the Vivid Sydney website and must be delivered in the requested file format, size and resolution. Once your installation location is confirmed we will also require photorealistic renders of the installation in-situ.

  4. HIGH-RES PHOTOGRAPH OF ALL ARTISTS:
    These images must be delivered in the requested file format, size and resolution.

All marketing material must be approved in writing by Destination NSW before release.

The use of any data collection technology as part of an installation must be pre-approved by Destination NSW and must satisfy the requirements of any legislation and guidelines that govern the collection and use of such information. A copy of any data, primary or secondary research or other information collected at an installation must be provided to Destination NSW seven (7) days after the conclusion of the event.

If your submission is approved, the organisation which is contracted to deliver the installation/activation must take out and maintain, on its own behalf, a minimum of $20 million public liability insurance cover with a reputable insurance company for the period of the contract. You will be required to provide confirmation of such cover to Destination NSW upon signing the contract.

Submitting an application under this Expression of Interest does not automatically grant the applicant acceptance into the Vivid Sydney program.

Any content, footage, information, biographies and photos provided or produced by you in connection with Vivid Sydney will be used by Destination NSW, Vivid Sydney sponsors, Vivid Sydney contractors and tourism third parties for marketing and promotional use.

You also grant the right for Destination NSW, Vivid Sydney sponsors, Vivid Sydney contractors and tourism third parties to edit any content, footage, information, biographies and photos, without further approval, for marketing and promotional use in line with the below use terms.

The Applicant acknowledges and agrees to allow Destination NSW, Vivid Sydney sponsors, Vivid Sydney contractors, media, commercial photography and film companies, and tourism third parties, to film and photograph their Event, content, installation and use any images and footage without the need for credit and/or further approval.

Use is given on the following basis — royalty-free, for distribution and communication worldwide, free of charge, in any media whether now known or later devised and in perpetuity. Such uses may include books, merchandise and films from which revenue and profit may be derived.

By submitting an application under this Expression of Interest you consent to, and grant permission for, Destination NSW to share your application with third parties for the purposes of review and assessment. By submitting an application you consent to this disclosure.

This document remains subject to change at the sole‐discretion of Destination NSW, including but not limited to locations, dates and times.

Acceptance of all proposals is subject to the approval of all relevant development applications and landowner approvals. The Applicant acknowledges that development applications are ultimately determined by the respective land owners and not Destination NSW.

Installations, activations, events and related activities, artwork, content, concepts, collateral and specifications must be approved by Destination NSW in writing before commencement of production and must comply with the Vivid Sydney brand guidelines i.e. incorporating Vivid Sydney brand colours and visual identities.

All installations, related activities, content, collateral, concepts and specifications must not bring the NSW Government and Destination NSW into disrepute, must be of family friendly nature, does not incite violence, keeps with the creative integrity of Vivid Sydney and be for general exhibition i.e. suitable for viewing by children without parental supervision.

If you are selected or otherwise engaged by Destination NSW to supply technical equipment for Vivid Sydney you will be required to:

  • Obtain an Engineering Certificate for your equipment or sundry infrastructure at your cost (this must include certificates of compliance for the design and installation of the equipment)

  • Ensure all elements of the installation are WHS compliant to Australian and New South Wales standards

  • Provide all relevant and required infrastructure

  • Provide professional quality CAD Plans and renders (in .dwg and .pdf formats)

  • Supply operational staff to maintain the equipment for the duration of the event (as required)

  • Supply power specifications, requirements and cabling

  • Report on real power consumption data (watts)

  • Provide immediate maintenance to equipment in the event of failure for the duration of Vivid Sydney 2018

  • Provide a minimum of AUD$20 million Public Liability insurance and Workers Compensation Insurance as required by law**

  • Provide Risk Management, safe work method statements, and relevant Safety Plans

  • Comply with all relevant EPA guidelines (where applicable)

  • Provide all necessary permits, building owner and land owner approvals (this includes covering any associated fees)

  • Provide insurance for your equipment whilst located on site.*

*We are unable to consider any insurance claims due to a fault with the selected entry.

** Any third party individual or company assisting you will require Public Liability Insurance and Workers Compensation Insurance (as required by law) to work on site.
